QuickBooks Point of Sale: An Invalid Password message is returned but there’s no login screen

blog-password-adviceAlthough there is no opportunity to enter a user name or password, when opening Point of Sale, one of the following messages is returned:

  • Invalid Password
  • Invalid username or password

How to fix it

Intuit recommends the following 2 solutions for this problem. The first solution may solve your problem, or you may need to try both.

Solution 1: Toggle require sign in on and off

  1. Choose File > Preferences > Company (Version 9 and below: Edit > Preferences > Company).
  2. Select the Require users to log in checkbox. Enter a password when prompted (this will be temporary and you can remove it later). Click Save. Sign in if prompted.

    Note: If you are not prompted to set up a password, create one manually by choosing Employees > Change Employee Password.

  3. Close and reopen Point of Sale, entering the password each time to ensure the file opens successfully.
  4. Once you can sign in without error, if you wish to remove the password, choose File > Preferences > Company and click to clear the Require users to log in checkbox.


Solution 2: Troubleshoot Point of Sale installation

I have a single workstation

  1. Stop the QBPOS Database Manager:
    1. Click the Windows Start button and choose Run.

      Note: Windows 7 and Vista users, click the Windows Logo button and choose All Programs > Accessories > Run.

    2. Enter services.msc and press Enter.
    3. Right-click QBPOS Database Manager XX from the list of Services and choose Stop, where XX is the highest number version you see.
  2. Rename the company file folder:
    1. Right-click the Microsoft Windows Start button and choose Explore (In Windows 7 Open Windows Explorer).
    2. Navigate in the left window pane to the location: C:\Documents and Settings\All Users\Documents\Intuit\QuickBooks Point of Sale XX\Data. To navigate, click the plus sign (+) or arrow next to each folder listed.

      Note: In Windows 7 and Vista, the company data folder is located in C:\Users\Public\Public Documents\Intuit\QuickBooks Point of Sale XX\Data.

    3. Right-click the folder that contains the name of your company file and choose Rename.
    4. Enter an X before the name of the folder and press Enter. (For example, if the folder name is QuickBooks POS, then change the name to XQuickBooks POS.)
    5. Close the Explorer window.
  3. Restart your computer and open Point of Sale.
  4. When Point of Sale opens, you will be prompted to create a new file. While creating the new file, click Leave in each Interview window that appears.
  5. With the new company file open, choose File > Restore.
  6. Select the most recent backup file and click OK to follow the restore process.


I have multiple workstations

  1. Open Point of Sale at a client workstation.
  2. Choose File > Preferences > Company > General.
  3. In the General Preferences windows, clear the Require users to sign in checkbox under Options and click Save.
  4. Open Point of Sale on the server workstation.
