QuickBooks: Set up a company file for sync


Intuit Sync Manager synchronizes your QuickBooks company file data with Intuit online services. When you subscribe to any of the services that require access to your QuickBooks company file data, you need to set up your company file for sync.

Detailed instructions

Important: Intuit Sync Manager will not work on a copy or backup of the company file you have set up for sync. You need the exact file you have setup using the menu item ‘Set Up Intuit Sync Manager’ to sync successfully with Intuit online services.

Here are the step-by-step instructions on how to set up your company file for sync.

Before performing the following steps, please ensure that you have the latest Intuit Sync Manager by turning on QuickBooks update.

  1. In QuickBooks, select Set Up Intuit Sync Manager.
    • QuickBooks 2013 and 2014
      Go to File, then select Set Up Intuit Sync Manager.
    • QuickBooks 2012 and earlier
      Go to Online Services (or Online Solutions) then select Set Up Intuit Sync Manager.NOTE: You must be logged in as the QuickBooks Admin user for the Set Up Intuit Sync Manager option to be available.

      If your are logged in as the Admin and the Setup Sync Manager option is NOT available, the reason is one of the following:

      • You have already set up Sync Manager for this file in this location. In this case you will see:
        • Sync in the File menu in QuickBooks 2013.
        • Manage Services in the Online Services (or Online Solutions) menu in QuickBooks 2012 and earlier.
      • If you have not set up Intuit Sync Manager previously, you are logged in as the Admin, and the Setup Sync Manager option is NOT available, your data file is corrupt.
        1. Create a backup of your file and ensure that the file is on your local drive.

        3. Perform a back to back rebuildIMPORTANT: Only run a back-to-back rebuild from the system on which the company file is stored. If your company file is shared on a network, Do NOT run a back-to-back rebuild across the network, as that can result in data damage.
          1. Open QuickBooks on the computer where the company file is stored.
          2. Go to File > Utilities and hold down the CTRL key as you select Rebuild Data.
          3. Click OK on the “Rebuilding without first backing up …” message.
          4. After rebuild completes, click OK on the Rebuild Completed message.
          5. Go to File > Utilities and hold down the CTRL key as you select Rebuild Data.
          6. Click OK on the “Rebuilding without first backing up …” message.
          7. After rebuild completes, click OK to the Rebuild Completed message.
          8. Go to File > Exit to exit QuickBooks.
          9. Reopen QuickBooks and login to the company file.You should now see the option to Set Up Sync Manager.
  2. Login using your Intuit Account once the sign in page shows up.
  3. Select one of the following options:

    • Use an existing company
      Choose Use an existing company if there are existing business profiles where the online applications are attached or linked to. This can be verified using the AppCenter CSR tool.
      Then select the business profile you want to sync with your company file.

    • Create a new company and sync your file
      Choose Create a new company and sync your file if this is a first time setup. This will create a business profile on the Intuit Account of the customer using the information in the company file.
  4. Select the application where you want to sync your company file.

  5. Once the sync is complete, this window will appear.

Intuit Sync Manager Access Points

  • From the System tray
    Go to the System tray, right click the Sync Manager icon and click Open Sync Manager.

  • From within QuickBooks (QuickBooks 2013 and later)
    Go to File>Launch Sync Manager.

After launching sync manager, you will see the successfully synced company files in this window.
